Document and product traceability (O&M)
The O&M manual is an important part of the project and provides our customers a tool to ensure the building can be operated and maintained safely during the occupation phase of the project protecting the wellbeing of the occupants.
Demonstrating that we have complied with and adhered to the designs, and quality standard requirements is vital. We demonstrate this compliance through carrying out the quality management requirements during the life of our projects and ultimately providing a comprehensive source of information about the construction process via the O&M manual.
Compiling information for the O&M at handover can be a stressful process. We should start completing our operating and maintenance manuals from the moment the project starts and should continue throughout the project life.
A review of the contract will be necessary to establish the requirements of the customer in respect of the O&M Manuals and this will be required to be passed to the supply chain to ensure the correct information is provided. As the project develop and work packages complete the O&M information is to be updated and reviewed.
Too frequently we see information being collated as practical completion nears which means the process of O&M manual preparation is difficult and could result in erroneous information being provided.
The tool that we use to collate, document and access our O&M manuals is via E Documents. Examples of documents which should be provided and stored with in our O&M platform are Drawings (As-Builts), testing and inspection records, certificates, work package reports, 3D models, 360 panorama photographic records and warranty records.
Access to the E-Document platform will be provided to the customer free of charge during the making good defects period and should the customer desire to maintain the use of the E-Document platform a nominal sum will be chargeable on an annual basis.
